2. The information we collect

Depending on how you deal with us, we may collect:

  • Contact details – name, email address, phone number and postal address.
  • Identity information – date of birth, photo ID and proof of address, which the law requires us to check before acting for you.
  • Tax and financial information – National Insurance number, Unique Taxpayer Reference, income, expenses, bank statements, payroll records, company details and other information needed to prepare your accounts and returns.
  • Enquiry and quote details – the information you enter in our contact form or online quote builder, such as your client type and the services you need.
  • Correspondence – emails, messages, call notes and any complaints.
  • Payment details – handled by our payment provider, Stripe. We do not see or store your full card details.

3. How we collect it

Mostly directly from you: when you send an enquiry, build a quote, book a call, sign up for a package or provide records while we work for you.

We may also receive information from HMRC, Companies House, your employer, your previous accountant, partners who refer you to us, and public records.

4. How we use it and our lawful basis

UK data protection law requires a lawful basis for each use of your information.

  • Replying to enquiries, preparing quotes and arranging calls – steps before entering a contract at your request.
  • Preparing accounts, tax returns, payroll and filings, and dealing with HMRC and Companies House for you – performance of our contract with you.
  • Verifying your identity and keeping anti-money laundering records – legal obligation.
  • Keeping records required by tax and company law – legal obligation.
  • Taking payments and managing billing – performance of our contract.
  • Keeping you informed about deadlines, tax changes and our services – legitimate interests (you can opt out at any time).
  • Handling complaints and protecting against legal claims – legitimate interests.

We do not sell your information, and we do not use it for automated decision-making or profiling.

5. How long we keep it

We keep client records for six years after the end of the tax year or accounting period they relate to, or after our engagement ends if later. This matches HMRC and anti-money laundering requirements. Enquiries that don’t lead to an engagement are deleted within 12 months. Backups of the website, including form submissions, are kept for a rolling seven days.

6. Who we share it with

We only share what’s needed, with:

  • HMRC, Companies House and other authorities – to file returns and accounts for you, or where the law requires it.
  • Our professional body and regulators – for supervision, inspections and anti-money laundering checks.
  • Service providers – accounting and payroll software, cloud storage, email, IT support, our website host and identity-checking services. They act on our instructions and must keep your data secure.
  • Partners who refer you – if you came to us through a partner such as Lunar FBA, we may confirm to them that you’ve signed up. We won’t share your financial details with them.
  • A buyer or successor – if our business is ever sold or restructured.

7. Third-party services on our website

  • Google Fonts – displays our website fonts; receives your IP address when the page loads.
  • Calendly – lets you book a call; receives the details you enter when booking.
  • Stripe – takes package payments; receives your payment and contact details.
  • Whop – Lunar FBA member sign-up; receives the details you give Whop directly.

These providers have their own privacy policies. Enquiry and quote forms are stored on our own website.

8. Transfers outside the UK

Some of our providers, including Google, Calendly and Stripe, may process data in the United States or elsewhere. Where that happens we rely on UK adequacy regulations (including the UK–US Data Bridge) or the ICO’s International Data Transfer Agreement, so your information keeps an equivalent level of protection.

9. Cookies

Our website does not use analytics, advertising or tracking cookies. The only cookies set are strictly necessary ones, for example to keep our staff logged in to the website’s admin area or to help a form work. These don’t need your consent.

We use appropriate technical and organisational measures to protect your information, including encrypted connections (HTTPS), access controls and two-factor login for our systems, regular software updates and secure backups. Only people who need your information to do their job can access it, and they’re bound by confidentiality.

If a data breach is likely to put your rights at risk, we will tell you and the ICO as the law requires.

11. Your rights

Under UK data protection law you have the right to:

  • Access the personal information we hold about you.
  • Correct information that is wrong or incomplete.
  • Erase your information where we no longer have a reason to keep it. We can’t delete records the law requires us to keep.
